General Policies

All registrants are required to read and agree to the Radiosurgery Society® (RSS) General Policies. Failure to abide by these policies will affect your eligibility to participate in the Radiosurgery Society Scientific Meeting and other programming this year or in future years.

Registration Payment Policy

Payment can be made by credit card (Visa, MasterCard, Discover, American Express) or check (payable to “The Radiosurgery Society”). Check payments delay processing and must be received no later than February 20, 2025. Include a printout of your registration confirmation email along with your payment and mailed to: The Radiosurgery Society, 99 Almaden Blvd Ste 600, San Jose, CA 95113.

Cancellations and Substitutions

Any cancellation requests must be made before March 7, 2025, to confirm meals and name badge printing. Cancellations and refund requests must be made in writing to RSSEvents@therss.org with the subject line "2025 RSS Scientific Meeting Registration Cancellation Request" and include the registrant’s name, email address, and amount paid. Any refund requests made prior to March 7, 2025, will be subject to a cancellation fee of $150. No refunds will be made after that date.

You may transfer your registration to another person, but must do so before March 7, 2025. A $50 processing fee will be charged for all transfers. You can make changes to your registration record or upgrade your registration by visiting: (www.rssevents.org) and entering your e-mail address, along with your registrant ID or confirmation number. You can find your registrant ID and confirmation number in the registration confirmation email you will receive after completing the 2025 RSS Scientific Meeting online registration form.

Meeting Badges

Each 2025 RSS Scientific Meeting attendee must wear the meeting badge issued by the RSS and keep their meeting badges visible at all times. The RSS, its contractors, and the Westin La Paloma have the right to deny access to the RSS events including breakout sessions to any attendee not wearing a meeting badge.

Attendees may not exchange, give, trade or sell meeting badges. The RSS makes all final decisions on who has access to the Meeting and what badges are issued for the Meeting. The RSS, its contractors, and Westin La Paloma may remove any person from the Meeting that, in RSS’s opinion, is violating or threatening to violate any of these rules or whose conduct is objectionable, disorderly, or disruptive.

There may be a $50 replacement charge for lost badges.

Equal Opportunity

It is the RSS policy not to discriminate or screen guests on the basis of race, color, religion (creed), gender, gender expression, age, national origin, disability, marital status, sexual orientation, or military status as an attendance requirement to any event. The RSS is committed to providing an inclusive and welcoming environment at all RSS events. As an extension of the RSS policy, the RSS requires all guests to treat each other with dignity and respect. Any guest failing to adhere to this standard will be subject to disciplinary action.

Accessibility

The RSS may provide, upon request, alternative formats, auxiliary aids, and services necessary for all individuals to participate in all programs and services provided by our organization. Requests for accommodations should be given at the time of registration or submitted at least three weeks in advance of the conference.

Attire

Business casual and business formal attire is preferred.

Children

Children under the age of 18 are not allowed in the RSS Scientific Meeting during educational sessions or exhibitor load-in, load-out, and all other hours of operation. Content of conference programming may not be suitable for children.

Media Release

The registrant gives the RSS permission to photograph and video/audio record the registrant and to use the same in the RSS publications, promotions, and other media. The registrant understands that the RSS has exclusive rights to these visual and audio recordings.

The RSS has secured official photographers/videographers to document and capture meeting sessions, discussions and other events at the 2025 RSS Scientific Meeting and may photograph or record parts of the Meeting, including, but not limited to, the Exhibit Hall and educational sessions. An individual attending the 2025 RSS Scientific Meeting understands that his or her image, likeness, name, voice and/or words may be captured in photographs or recordings taken during the meeting and grants RSS unrestricted permission to use, publish, display, reproduce, copy and distribute such image, likeness, name, voice and/or words, worldwide, for any purpose authorized by RSS, including but not limited to website use, training, publications, presentations, promotional marketing and advertising use, etc., in all forms of media now known or later developed. The RSS has the right, but not the obligation, to identify you in connection with such media by name and/or affiliation.
